This Cancellation & Refund Policy applies to all travel packages arranged by Luxury Elite Travel & Tours, excluding any flight bookings. Flight tickets are subject to the terms and conditions of the respective airline or third-party Ticketing agents.
We understand that unforeseen circumstances may arise. If you need to cancel your booking, please refer to the following refund structure:
A minimum deposit of 25% of the total tour fare per person is required at the time of booking to secure the reservation.
For Free Independent Traveler (FIT) and standard tour packages, the remaining balance must be paid in full at least 14 days prior to the departure date.
Failure to make payment within the specified timeframe may result in the automatic cancellation of the booking and forfeiture of the deposit.
For Free Independent Traveler (FIT) tour packages
• Once the booking is confirmed, any subsequent changes to the reservation will incur an amendment fee of RM50 per person per change.
• No amendments are allowed within 8 working days prior to the departure date.
• Please note that replacing or altering the entire reservation will be treated as a cancellation of the original booking and will be subject to the applicable cancellation charges as outlined under Clause 3.1 – FIT Tour Packages Cancellation Policy.
• No-Show Policy
In the event of a “no-show” without prior notice, the booking will be considered forfeited, and no refund will be issued.
3.1 For FIT (Free Independent Traveler) Tour Packages
• All requests for cancellation must be submited in writing to avoid any potential misunderstandings. In the event that the Company receives a writen notice of cancellation 30 days or more prior to the scheduled departure date, an administrative fee of RM 50.00 or 10% of the tour deposit (whichever is lower) per person will be imposed.
• For cancellations received less than 29 days before the scheduled departure date, the following charges shall be applicable:

Any changes to your travel date or itinerary made independently are undertaken at your own risk. Luxury Elite Travel & Tours and its partners will not be held responsible for any inconveniences, disruptions, or additional costs resulting from such modifications.
In rare cases where a tour or package is cancelled by Luxury Elite Travel & Tours due to unforeseen events the company reserves the right to cancel the tour due to events beyond its control, such as natural disasters, war, strikes, riots, or directives issued by the Government of Malaysia.
(1) In such situations, the company will offer an alternative tour, preferably to the same destination or a similar one. If the passenger declines the alternative, a refund will be issued, minus any applicable administrative fees.
All refund requests must be submited with the following details:
Approved refunds will be processed within 14 working days and returned via the original payment method.
Refunds are not applicable in the following situations:
This policy does not cover any flight tickets booked separately or through our agency. Please refer to the respective airline’s terms for changes, cancellations, or refunds related to flight tickets.
(1) Tour Members’s Responsibilities
Tour members must make sure they have:
• A passport or travel document that is valid for at least 6 months from the departure date.
• All required visas, vaccinations, and health certificates for the countries they are visiting.
(2) Company’s Responsibilities
The company will:
• Inform tour members about the travel documents they need.
• Help with visa applications, when possible, but cannot guarantee that a visa will be approved.
(3) Fees and Charges
Tour members are responsible for paying all visa and service fees.
(4) Rejection of Visa or Travel Documents
If a visa or travel permit is not approved, the company will give a refund minus administrative fees.
(5) If Entry is Denied
If a tour member is not allowed to enter a country or is sent back (deported) by immigration because of:
• Illegal items
• Wrong or missing travel documents
• Actions the foreign government does not accept
The company will not be responsible for any costs or give any refund.

The company reserves the right to adjust the prices, if necessary, but customers will be informed of any changes before confirming the tour.

The following items are not included in the tour fare and must be borne by the tour member: • Laundry services
• Meals or beverages not listed in the standard tour menu
• Optional excursions or personal activities not stated in the itinerary
• Porterage services at hotels and airports
• All personal expenses (e.g., tips, phone calls, shopping)
The company has the right to cancel any tour or booking, or to refuse or remove any person from the tour if they may pose a risk to the health, safety, comfort, or enjoyment of others. The company may also cancel a booking if a hotel, airline, or service provider does not allow a person to join the tour. In such cases, the company will only refund the amount paid, minus any used services and administrative fees.
The company and its partners are responsible for providing the services listed in their brochures, such as transport, accommodation, meals, and entertainment. If an investigation by the Tourism Commissioner shows that the services provided were not as promised, the company must provide suitable compensation as decided by the Commissioner.
All tour members are strongly advised to buy travel insurance to protect themselves against illness, money loss, cancellations, flight delays, or lost luggage.
